Privacy Policy

This Privacy Policy describes how NexLogic Telecommunications Network, Inc. (“NexLogic”, “we”, “us”, or “our”) collects, uses, stores, and protects personal information when you use NexPortal — our employee portal available on the web at portal.nexlogic.ph and through our mobile applications for iOS and Android (collectively, the “Service”).

NexPortal is intended for authorized employees and contractors of NexLogic and its affiliated companies. If you do not have an authorized account, please do not use the Service.

1. Information We Collect

Depending on how you use NexPortal, we may collect the following categories of information:

  • Account and identity information — employee username or email, name, employee ID, department, company affiliation, and role-based permissions needed to operate the portal.
  • Authentication data — credentials used to sign in. Passwords are stored using industry-standard hashing; we do not store plain-text passwords.
  • Time and attendance data — time-in/time-out records, work schedules, overtime, leave requests, and related HR workflow data.
  • Location data — GPS coordinates captured when you time in or time out, and periodic location updates while you are timed in when GPS tracking is enabled by your employer. Location collection requires your device permission and is used for attendance verification and workforce accountability.
  • Photos and camera data — photographs captured through your device camera during time logging (required for accountability), and images you attach to work records such as job orders, receipts, reimbursements, or field documentation.
  • Work activity data — job orders, tasks, comments, approvals, notifications, and other operational records you create or interact with in the Service.
  • Device and technical data — device type, operating system, app version, IP address, and diagnostic logs needed to operate, secure, and improve the Service.
  • Crash and error reports — when enabled, the mobile app may send crash reports and error diagnostics to our monitoring service (GlitchTip at sentry.nexlogic.ph) to help us fix defects. These reports may include device information, app state, and technical logs. They are not used for advertising.

2. How We Use Information

We use the information described above to:

  • Provide, operate, and maintain NexPortal for authorized users;
  • Verify attendance, process payroll-related workflows, and support HR operations;
  • Enable field operations such as job orders, task management, and approvals;
  • Communicate work-related notifications and account messages;
  • Monitor Service health, prevent fraud or misuse, and enforce company policies;
  • Diagnose technical problems and improve reliability and security;
  • Comply with applicable laws, regulations, and lawful requests.

3. Legal Basis and Employer Role

NexPortal is a workforce tool provided by your employer. In most cases, your employer determines why and how employee data is processed for HR and operations. NexLogic processes data as a service provider to administer the portal on behalf of participating companies.

Where applicable under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173), processing is based on legitimate business interests, contractual necessity, legal obligation, and your employer’s authority to manage employment relationships.

4. How We Share Information

We do not sell your personal information. We may share information only:

  • With your employer and authorized administrators within your organization;
  • With NexLogic personnel who need access to operate and support the Service;
  • With infrastructure and monitoring providers that host or support the Service under confidentiality obligations;
  • When required by law, regulation, court order, or government request;
  • To protect the rights, safety, and security of NexLogic, our users, or others.

5. Data Retention

We retain information for as long as needed to provide the Service, meet employer HR and compliance requirements, resolve disputes, and satisfy legal obligations. Some records (such as time logs and payroll-related data) may be retained for periods required by company policy or applicable law. GPS location history may be retained for a limited period configured by administrators.

6. Security

We implement administrative, technical, and organizational safeguards designed to protect personal information, including access controls, encrypted transport (HTTPS), and audit logging. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

7. Your Choices and Rights

Depending on your role and applicable law, you may have the right to:

  • Access or correct certain profile information through NexPortal or your HR department;
  • Withdraw device permissions (camera, location, photos) in your device settings — note that some features, including time logging, may not work without required permissions;
  • Request information about how your employer processes your data through your HR or data protection contact.

Because NexPortal is an employer-managed system, many requests must be handled by your company’s authorized HR or administration team.

8. Children

NexPortal is not directed to individuals under 18 and is not intended for public consumer use. Accounts are provisioned only for authorized personnel.

9. International Processing

Data is primarily processed in the Philippines. If data is accessed from other countries, it may be subject to the laws of those jurisdictions in addition to Philippine law.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will reflect the latest revision. Continued use of the Service after changes become effective constitutes acceptance of the updated policy.
